Project Coordinator

We are seeking a highly organized and proactive Project Coordinator to support project management across architectural service delivery. This role plays a critical part in ensuring projects are well-resourced, efficiently set up, and run smoothly from start to finish. You’ll work closely with cross-functional teams to support the delivery of high-quality work on time and on budget and contribute to the development of systems and processes that support architectural service delivery.
This role requires someone who is a systems thinker who enjoys working behind the scenes to make things run better, smoother, and smarter.
Location: Vancouver, BC.
What you will do:
Project coordination
- Assist with project initiation, including setting up project folders, workspace templates, populating templates for schedules, budgets, and start-up documentation. Ensure all necessary contracts, scopes, and internal approvals are in place and appropriately filed.
- Provide ongoing administrative support to aggregate information and data from project teams, including scheduling, resourcing and planning changes.
- Maintain an aggregated project schedule which comprises input from all project managers
- Maintain a close relationship with the Finance team to support the maintenance of accurate project data in Ajera, contributing to the financial success of projects.
- Track adherence of project teams to the systems noted above and elevate concerns to the Director of Architectural Services
- Help maintain visibility of Impact-related scopes within architectural projects—ensuring they are tracked, visible, and understood across project teams
Resourcing support
- Support the resourcing process by gathering input from project teams and updating internal tracking tools.
- Monitor resourcing gaps and conflicts. Make data driven recommendations, flag them to the resourcing committee for approval or further action required.
Process & systems support
- Work closely with the Architectural Services Delivery team to support the adoption, documentation, and ongoing refinement of project management tools, systems, and processes
- Support the planning, coordination, and execution of pilot projects across the firm.
- Collaborate with team members to co-develop systems and platforms that support future firm-wide initiatives.
- Gather and synthesize project metrics from Project Managers to support data-informed decision-making.
- Prepare reports and insights based on project performance data to inform strategic planning.
What you will bring:
- A Bachelor’s degree in Architecture, Engineering, Business Administration, or a related field.
- Alternatively, a combination of relevant experience and project management certifications may be considered in place of a degree.
- 2-4 years of experience in project coordination, operations, or administrative support role, ideally in the AEC industry
- Experience in project management systems (Deltek Ajera is preferred)
- Understanding of business principals (can grow into an understanding of architectural service delivery)
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, with comfort working across teams and directly with senior leaders.
- Comfort working through shifting priorities with a resilient and proactive approach—knowing when to seek input and escalate challenges appropriately.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with data visualization tools for reporting
- Attention to detail and ability to ensure high-quality outputs in all aspects of the role.
- A systems-oriented mindset and comfort working with evolving project management platforms.

Proposal Assistant

We are looking for a Proposal Assistant who will play a critical role in supporting the firm’s business development efforts by assisting Proposal Coordinators and Specialists with the preparation, coordination, and submission of proposals. This position requires an organized and proactive doer, with excellent communication skills, both written and verbal.
(Note: this is a Vancouver based position)
What you will do:
- Assist Proposal Coordinator/Specialists with the administration, content, layout, production and timely delivery of proposal submissions
- Compile initial layout of proposal submission using InDesign template
- Coordinate the collection of necessary materials from internal subject matter experts
- Attend key proposal meetings and reviews with firm leadership, as relevant
- Proofread proposal content for grammar and consistency
- Undertake searches of bid sites for relevant opportunities, before summarizing and circulating as part of Go-No-Go process
- Consistently organize, maintain, and write boilerplate content, resumes, project and staff databases, and detailed project information to ensure accuracy for proposals and marketing materials
- Track and archive proposal submissions, outcomes, and debrief information to inform future efforts
- Work in a highly collaborative environment with a team looking to streamline processes while increasing impact
What you will bring:
- Diploma or degree in marketing, business, communications, design, publishing, journalism, humanities, or similar
- Minimum 1-3 years in a related role with transferrable skills
- Strong organizational, planning and time management skills, demonstrating meticulous attention to detail, precision and the ability to multitask effectively under tight deadlines
- Strong listening and communication skills, both written and verbal
- Excellent writing, editing, and proofreading skills
- Team player and highly adaptable, demonstrates initiative and positive attitude, ability to thrive in a team environment
- Aptitude for the administrative: scheduling and calendar management; email correspondence; filing, data entry and information management; clear, concise, organized documentation
- Responsive, assertive, and resourceful
- Experienced user of Microsoft Office Suite; Adobe InDesign (broader Adobe Creative Suite is considered an asset)
- Some experience or knowledge of design, architecture, engineering, or construction industries is an asset.
- Strong design eye: experience with digital arts or graphic design is considered an asset
Salary range: $50,000 - $55,000.
